How organisation profiles, bookings made for someone else, purchase orders, account terms and payment confirmation work.

Organisation profiles

We may create an organisation profile after the organisation has been identified and confirmed. The profile helps keep authorised contacts, service requests, device work, quotes and invoices connected so that customers do not need to repeat the same organisation details for every job.

Public business-register information may be used to help find the right organisation, but the organisation match should be confirmed before it is relied on for service or billing.

Who is arranging, receiving and paying for the service

The person who arranges a service, the person or organisation receiving the service and the person or organisation responsible for payment may be different.

A retirement village or community partner may arrange an appointment for a resident while the resident remains the customer and payer. An organisation becomes responsible for payment only where that responsibility has been agreed for the relevant service.

Organisation account terms

Where approved and shown on the relevant quote or invoice, our usual starting payment periods may be up to 30 days for schools, up to 21 days for private childcare or early-learning businesses, and up to 14 days for general businesses.

These are starting account settings rather than an automatic entitlement. The due date and payment conditions shown on the accepted quote or invoice for the particular job apply. We may agree different terms, require a deposit or require payment before completion depending on the job, payment history and circumstances.

Purchase orders and purchasing requirements

Some organisations require a purchase-order number or other purchasing reference. If this applies, we may ask for the missing PO before finance processing or work that depends on that approval continues.

Providing a PO should only be done by a person authorised by the organisation. A PO does not change the agreed scope or price unless we expressly agree to a change.

Account limits and additional work

Where we allow payment after service, we may set a reasonable account limit. If invoices are overdue or a new job would materially increase the unpaid amount, we may ask for payment, a deposit, shorter terms or another agreed arrangement before taking on additional work.

We will not treat a website suggestion or automated classification as a final decision to grant or refuse credit.

Payment confirmation

For online payments, payment is treated as received when the relevant payment service confirms it. For bank transfer, telling us that payment has been made may be recorded as awaiting confirmation until the amount can be matched with our bank records or otherwise verified.

If a payment covers only part of an invoice, the remaining balance stays due under the invoice terms unless another arrangement is agreed.

Overdue invoices

If an invoice is not paid by the agreed due date, we may send reminders and contact the payer to resolve the account. We may also require overdue amounts to be addressed before further work is provided on credit.

Any debt-recovery action will be taken in accordance with applicable law and the agreed terms. Nothing in this section removes rights that cannot lawfully be excluded.

Consumer rights

Businesses can have rights under the Australian Consumer Law in some circumstances. Nothing in these terms excludes, restricts or modifies a consumer guarantee, right or remedy that cannot lawfully be excluded, restricted or modified.
